Travel Industry Distribution Committee Meeting Minutes

Meeting Notes/Action Items from HEDNA's Global Meeting
2002 May, London

Meeting Name: Travel Industry Distribution Committee
Location: London Chair:

Tiffany Topcik

Date: 16 May 2002 Co-Chair:

Agenda - Action Items/Issues

Item No. Subject High Level Summary/Issues
1 Online and traditional agencies Both agency organizations should be placed in one category.
2 Agency Program Overview Create a document that provides an overview of each agency and description of what type of company they are (mega or network). Suggested topics to cover include services rendered for participation fees, dates for contracting, true reach and all alliances, strengths and weaknesses.

3

Agency representation Ensure permanent agency representation on the HEDNA Board
4 Agency code of conduct Definitions for agencies so that they are clear in services rendered for participation fees, true reach, all alliances. Follow industry guidelines on rate publication
5 Standards for publications of rates Concern that agencies continue to publish negotiated rates for consumer viewership; request that HEDNA define general rate classifications and standards/parameters for publication of rates. This will encourage hotels to be more articulate if they do not support an agency philosophy.
6

Technological needs of agencies

A key topic of interest for the next meeting; address both the agencies specifically as well as corporations.

7 RFP standardization Revisit accomplishments of the past and determine if any further standardization is possible. Concern that third party companies are needed to assimilate data for contracting.
8 Evolution of agency distribution channels Idea for panel at next meeting - agencies, e-sites, corporations to talk about future - technology, net vs preferred rates.

9

Increasing passive segments

Discussion on the increasing number of passive segments which means rates not being booked through GDS.

10 Merchant model is changing dynamic This model is increasingly popular but a challenge for many organizations as they lose control of booking activity.
11

Travel trends

Decreased length of stay; bookings made weeks out then cancelled and rebooked at lower rates closer to arrival date. Price decreases changing customer expectations.

12 IATA numbers Request that HEDNA establish an overview of how IATA numbers are organized, updated and processed as white paper. Discuss how and why there are inaccuracies to better educate suppliers that use them for tracking, commissions.

13

Commissions Agencies more actively chasing commission payments; review of systems for commission payments may be topic for upcoming meeting.
