1 2002 Global Meeting Feedback
  • Need greater differentiation between topics and sessions. It seemed that there was too much overlap and redundancy with issues and speakers.
  • Format of meeting sessions (panels, point/counterpoint, presentation followed by Q& A, etc.) should be diversified.
  • Don't solicit too many panelist participants; less is often more effective.
  • IDS sessions went extremely well. The 15-minute time periods allocated were ideal as they were neither too long nor short. The flow of presenters using one laptop for all of the presentations made the execution seamless.
  • Phil Wolf was not at his best. Many felt he came off as egotistical and arrogant. Perhaps the expectations surrounding him were too high but his presentation felt "off".
  • Some mentioned that they were disappointed about not having an off-property event on Wednesday night. Others preferred the free evening.
  • Some complaints were raised about the schedule of events with the suggestion to flip flop the Wednesday/Thursday programming. (The BOD felt that by and large the current program configuration was preferable to the majority of attendees.)
  • IDS lottery system worked well.
  • Talkback "Dialogue" session was a good opportunity for attendees to voice concerns, ideas (John)

2 Technology Showcase
  • Set-up was workable but not ideal due to the lack of sufficient tables/chairs for eating, which meant attendees gathering in the meeting room to eat, rather than the exhibit area. Standing tables would be fine, but there needs to be more of them. Seating along the perimeter of the room is not adequate.
  • Several exhibitors noted that they liked the set-up because it forced quite a bit of foot traffic to their booths during the break areas, instead of having attendees seated.
  • GDS presentations: 1 hour is a good amount of time.
  • Make sure that exhibit space dedicated for seating and tables are not used for extra booths (i.e. last minute additions).
3 2002 Regional Meeting Planning
  • Theme could be "Distribution Chain", though GDSs think this may be too broad.
  • Panel on consumers: what they like, don't like, preferences, etc.
  • IATA would like a spot to address membership (Alison)
  • Spend about 5-10 minutes in General Session to introduce topics of Work Groups on Friday (John)
  • BIG discussion on the role of HEDNA publicizing, promoting, organizing, supporting Work Groups at the HEDNA meetings. Historically, HEDNA has been very "hands-off", but what logistical issues and services should HEDNA handle for these groups? Caryl: they should pay for rooms, AV, F&B, companies distribute invitations to their existing customer base with no access to Conference mailing lists.
  • Recruit major executives to participate, high level executives.
  • Bruce Wolf @ Marriott could speak on pricing for distribution channels. Perhaps someone from Starwood. Could be difficult finding someone to address this topic because they might be "giving away their secrets".
  • Session on "suppliers vs. demand" - what influences what they'll buy. travel agents, travelers, etc. - people who use each distribution channel (Scott)
  • Workshop idea for Friday: site59 talking about communicating properly, "inspirational content"
  • Customizing website (fonts, colors, etc.) based on who your audience is (determined by where they're linking from)
4 2003 Global Meeting Planning
  • Session about group booking business.
  • Interactive TV, being able to book via your television set at home
5 EMEA Conference
  • Theme: nothing is set in stone, will be covering a variety of big topics.
  • Draft is done.
  • Heidi providing sponsorship and exhibitor leads.
  • Concentration on ideas of "Educate" and "Innovate"

1 5/30/02 The meeting topics and panelists were not global enough. The presenters should have talked about trends in other parts of the world. 2 5/30/02 Emerging Technologies Panel vendors seemed to make sales presentations. Creation of a "vendor policy that stays consistent for committee chairs to provide panelists from meeting to meeting. 3 5/30/02 Some Allied members feel "cheated" for not having the opportunity to present as well.
  • Board members should examine this further to determine who should be included.
  • This can be added to the membership questionnaire to go out this summer.

4 5/30/02 Committee meetings on Friday are a problem as many attendees leave prior to then. 5 5/30/02 The concurrent committee meetings (GDS and IDS, for example) meant having to choose which to attend. Try to revise schedule to accommodate two different sets of meeting times for committee meetings that attendees might want to go to. Debbi / Ellen / Heidi ASAP
6 5/30/02 There were not sufficient "discard" stations for guests to put their used plates on. The personal attention of the hotel staff collecting these was nice but they couldn't be everywhere, all the time. Issue to cover with future hotels. Heidi Dec. 02 &

7 5/30/02 Not enough variety with food functions. The breakfast was the same each day, including the choice of pastries. The luncheons did not have enough selections (primarily sandwiches, fruit salad and assorted desserts). Meeting planner to make better selections. 8 5/30/02 Hotel removed food to quickly from the buffets. May appear wasteful. Meeting planner to instruct that food from breakfasts (at least pastry items) out through mid-morning break.
